Refund, Payment & Cancellation Policy
Bean’z Heating & Cooling

This policy explains how Bean’z Heating & Cooling handles diagnostic fees, authorized repair charges, deposits, cancellations, duplicate payments, refunds, and warranty-related concerns. It applies to HVAC service, maintenance, repair, and installation work unless a written estimate, proposal, invoice, financing agreement, manufacturer warranty, or applicable law states otherwise.
Diagnostic and Service-Call Fees
Our standard diagnostic service fee is $129 unless a different amount is quoted in writing for a promotion, after-hours call, commercial visit, additional system, or other special circumstance.
- The diagnostic fee covers the scheduled visit and testing needed to evaluate the active complaint on the system being serviced.
- The diagnostic fee is generally earned once the technician arrives and performs diagnostic work.
- Parts, repair labor, refrigerant, filters, code corrections, additional systems, and replacement equipment are separate unless specifically included in writing.
- If Bean’z states in writing that a diagnostic fee will be credited toward an approved repair, that credit applies only under the terms stated on the estimate or invoice.
Authorized Repairs and Completed Work
Repair or installation work begins only after the customer or an authorized representative approves the scope and price. Once authorized work has been completed, labor and installed parts are generally not refundable simply because the customer later changes their mind.
If there is a concern with workmanship or with a part we supplied and installed, contact Bean’z promptly so we can review the issue. Warranty coverage, if any, depends on the written invoice, manufacturer warranty, equipment registration, labor-warranty terms, and the cause of the failure.
Deposits, Equipment Orders, and Special-Order Parts
Deposits may be required for equipment replacement, installation projects, special-order parts, custom-fabricated ductwork, permits, or other work that requires Bean’z to commit money or labor before the scheduled installation date.
- A deposit is applied to the approved project total.
- If equipment, custom materials, permits, or special-order parts have already been purchased or committed for the job, any refund may be reduced by actual non-recoverable costs.
- Special-order or installed parts may not be returnable if the supplier or manufacturer will not accept them back.
- Any project-specific deposit or cancellation terms shown on the signed estimate or invoice control for that project, subject to applicable law.
Cancellations and Rescheduling
Customers should contact Bean’z as soon as possible if an appointment or installation needs to be cancelled or rescheduled. We do not publish a blanket cancellation fee on this page. If a specific job has a cancellation, mobilization, permit, restocking, or special-order charge, it will be disclosed in the estimate, invoice, or other written agreement before it applies.
Duplicate Payments and Billing Errors
If you believe you were charged twice, charged the wrong amount, or paid for work that was not performed, contact Bean’z at 312-593-6334. We will review the invoice, payment record, and job documentation. Approved billing corrections are returned to the original payment method when practical, subject to normal bank or card-processing times.
Parts Purchased by the Customer
When a customer supplies their own thermostat, motor, control, equipment, or other material, Bean’z is responsible only for the labor and workmanship we agree to perform. We cannot refund, replace, or warranty a customer-supplied part unless Bean’z separately agreed to do so in writing. Additional labor caused by incorrect, defective, incomplete, or incompatible customer-supplied material may be quoted separately.
Manufacturer and Labor Warranties
Manufacturer warranties normally cover eligible equipment or parts under the manufacturer’s terms and do not automatically cover diagnostic charges, refrigerant, shipping, disposal, access, or labor unless those items are specifically included. Any Bean’z labor warranty will be stated on the estimate, invoice, or other written warranty document.
Refund Requests
To request a billing review or refund, contact Bean’z Heating & Cooling and provide the customer name, service address, invoice or estimate number if available, date of service, amount in question, and a short explanation of the concern. We may review technician notes, photos, payment records, supplier charges, and equipment or part status before making a determination.
Legally Required Consumer Rights
Nothing in this policy is intended to waive or limit rights that cannot legally be waived. Certain in-home sales, financing transactions, home-repair contracts, or other transactions may carry cancellation, disclosure, refund, or warranty rights under Illinois or federal law. When applicable, those legal requirements control over this policy.
